One Contractor Across Your Whole Portfolio
Reactive repairs and planned maintenance for the communal areas you're responsible for, handled by one accountable contractor instead of a different trade for every block.
One Number Instead of a Contractor List That Grew by Accident
Every managing agent ends up with a list of contractors that's grown organically over years, one for plastering, one for roofing, one for the odd job nobody else wanted. It works, until it doesn't. A leaseholder is chasing you for an update on a communal repair, and the honest answer is you're not sure who's supposed to be dealing with it, or whether they've even been contacted yet. Multiply that across a portfolio of blocks and the admin overhead of managing contractors starts to compete with the actual job of managing the buildings.
HP Building Services Sussex is built to remove one layer of that problem. General repairs, decorating, roofing, guttering and communal upkeep, all under one contractor, one phone number, and one person who already knows the building the next time something comes up. See our commercial and block maintenance overview for the full picture.

What This Looks Like in Practice
Reactive repairs to communal areas
Hallways, stairwells, doors and shared services. A stuck communal door, a leak in a shared stairwell, a broken handrail — the kind of thing that generates a leaseholder complaint if it sits unaddressed. See reactive and emergency repairs for how urgent work is handled.
Planned maintenance around your reporting cycle
Rather than waiting for something to break, a scheduled visit catches wear before it becomes a repair. Visits are set to a frequency that suits the building and reported back in writing — more detail on our PPM contracts page.
Minor works without three separate quotes
A job that touches plastering, decorating and general carpentry doesn't need three separate contractors, three separate site visits and three separate invoices. One contractor covers the trades a building actually needs day to day.
Consistent standards across every block
The building someone happened to visit last shouldn't be the one that gets a noticeably better standard of work than the others. The same person is accountable for the finish on every site in the portfolio.
How Working With Us Actually Runs
From first call to sign-off
It starts with a call or a site visit, whichever suits the job. For anything urgent, call rather than email. For planned work or an ongoing arrangement, we'll walk the building with you, understand what's needed, and put together a written quote broken down by element, so you can see exactly what's being charged and why before anything is approved.
Once agreed, we schedule the work, keep you updated if anything changes on site (older buildings sometimes reveal something once you open something up), and confirm when it's done. For an ongoing PPM arrangement this becomes a recurring cycle rather than a one-off, with a written record after each visit.
Single point of contact, properly resourced
Harry runs every job personally and is the person you'll speak to, quote with and hear from when something changes. That's a genuinely different experience from a rotating cast of subcontractors who each need re-briefing on the building every time. For larger jobs, or when two blocks need attention at once, Harry brings in trusted tradesmen he's worked with before rather than leaving you waiting. You still deal with one person throughout — the work simply doesn't stall because one pair of hands can only be in one place.
Fully insured
Every job is covered by public liability insurance, with a certificate provided on request before work starts. If your onboarding process requires more formal documentation, see our insurance and accreditation page or get in touch directly.
Invoicing and how contracts are structured
For portfolio or ongoing contract work, we're happy to set up monthly invoicing against agreed rates rather than invoicing per job, which tends to suit how managing agents budget and report to freeholders. For one-off reactive jobs we quote and invoice per job, with the written quote agreed before we start.

Frequently Asked Questions
Do you invoice monthly or per job?
Either works. For portfolio or contract work we're happy to set up monthly invoicing against agreed rates, for one-off reactive jobs we quote and invoice per job.
Can you provide a written quote before starting?
Yes, every job gets a written quote broken down by element before we start, so you can see exactly what's being charged and why.
What's your response time for urgent repairs?
Most jobs get a same-day response. For anything time-critical, call rather than email and we'll confirm what's achievable for that specific job.
Do you work directly with leaseholders, or only through the agent?
Whatever you prefer. We're happy to liaise directly with residents on access and timing, or to route everything through you, your call.
Can you start with one block before we consider using you across the portfolio?
Yes, most working relationships start with a single building. It's a reasonable way for both sides to see how the arrangement works before extending it further.
What happens if a job turns out to be bigger than expected once you're on site?
You'll be told what's been found and what it changes before we carry on, not after. Nothing gets done beyond the agreed quote without you knowing first.
Do you carry out work outside normal hours if a building needs it?
For genuine emergencies, call and we'll confirm what's possible. Routine and planned work is carried out within normal working hours unless agreed otherwise.
How do you handle a block with more than one managing agent or freeholder involved in sign-off?
Tell us who needs to approve what, and we'll route quotes and updates accordingly. It's not unusual for a decision to need sign-off from more than one party, we just need to know the structure upfront.
Can you provide references from other managing agents?
As this side of the business is new, we don't yet have a long list of agent references to offer. What we can point you to is 15+ years of residential work and 150+ Google reviews, and we're happy to be judged on a first job before committing to anything larger.
Do you charge for an initial site visit or survey of the portfolio?
No, the initial visit and quote are free with no obligation, whether that's for a single reactive job or scoping out a wider portfolio arrangement.
